Standard terms and conditions

Changes and penalties: 
- Any change to an invoiced booking or a quotation request will incur a R125.00 fee per change.
- You can avoid the admin fee on quotations by requesting cancellation to hello@saachs.org.za, and then booking again.

Payment due before event
- Payment is due within 15 days but no later than 10 December.
- All bookings are final.
- If payment is not received bookings will be cancelled and penalties will be applied.
- Immediate payment is required for bookings after 1 December.
- Late payments will be subject to a 10% penalty.

Late payments
Payments made later than 30 days after invoice are subject to an automatic 10% late payment penalty, unless a prior arrangement has been made.

Cancellation of exhibition stands and staff bookings
Replacements are allowed at any time. Cancellations will incur a R125 fee plus the following penalties:
- 60+ days prior to event: 10% cancellation fee
- 31 to 59 days prior to event: 50% cancellation fee
- Up to 30 days prior to event: 100% cancellation fee.

Information for Suppliers

Supplier attendance
Suppliers may only attend the event if they are exhibitors.
Participating suppliers are entitled and encouraged to participate in all conference activities.

Exhibitor staff
There is no limit on the number of staff who may attend, subject to the following.

Each Exhibitor Package includes a limited number of free 3-day day passes that include conference attendance and dinners.
Please advise hello@saachs.org.za who your free delegates are, and indicate if accommodation is required.

Exhibitors may supplement the included staff by registering and paying for additional attendees.
 

Prize competitions
You are welcome to include competitions as part of your marketing programme. Talk to us about announcing prize draw winners in the Conference Sessions and Dinners. 

 

 

Speaker opportunities
Platinum exhibitors are entitled to one 30min Plenary speaker slot during the Conference. The topic must be conference-relevant and agreed with SAACHS. The audience does not appreciate promotional or product/service-specific presentations. Generally, a thought-leadership presentation that might include case studies and lessons is well received.

Speakers will enjoy free access to the event on the day of their presentation. Speaker costs are for the exhibitor's account. If you do not have a speaker, we can discuss positioning your organisation as the sponsor of an existing plenary speaker.

Other exhibitors may propose speakers and topics for consideration by SAACHS.

Custom stands, furniture, branding etc.
Exhibitors may use any stand builder for custom stands, and any service provider for stand furniture, equipment, branding etc.

Exhibitors may choose to engage with the stand building company that SAACHS has engaged to build stands.

While this may be more efficient than appointing a third party service provider exhibitors should note that SAACHS is only responsible for managing the erection of non-custom stands and the associated electrical and lighting services. SAACHS is not responsible for managing custom builds or the delivery of any other services procured from the stand building company that SAACHS has appointed, or any other third party.

Prices increase after 15 November.

We are keeping costs down as long as possible. To benefit book before 15 November after which prices increase by 10%
